Terms of Service

Please make sure that you reviewed Terms and Conditions carefully prior to any booking and which the Customer also accepts at the moment that a booking.

The General Terms and Conditions can be changed by BhutanHolidayPackages.com at any time without prior notice, although such changes will not apply to bookings that have already been accepted by BhutanHolidayPackages.com.

All trips are offered based on BhutanHolidayPackages.com standard terms and conditions under the Tourism Council of Bhutan’s set Guidelines for operating tours in Bhutan. You are expected to review the terms and conditions carefully prior to confirming your trip with us. Once confirmed, we will assume that you abide by our Terms and Conditions.

TERMS AND CONDITIONS:

Rates are different for Indian Nationals, Bangladeshi, Maldivian passport holder and foreign nationals. The rates are valid for minimum adults travelling together at all times.
Service Confirmations are subject to availability at the time of reservations.

Hotel names are subject to change due to availability of basic standard rooms or delay of your payment.

Quotation might change based on actual availability of the service and change in number of passengers.

All sightseeing, activities and optional tour/ services/rides left unutilized/ partially utilized by choice or due to other uncontrollable situations /weather / time constraint, any other circumstances are not subject to any refund.

Rates or price quoted in the itinerary are calculated at the prevailing rates and are subject to change without any prior notice in case of currency fluctuation increase in the cost of fuel charges, change in any related government tax structure, sudden change in any related hotel tariff, air/ rail/ bus/ entry ticket cost increases or transport cost increase due to change of route, alteration of itinerary program or change in the number of the tour members necessitated by factors beyond our control before the date of departure of even during the tour. Whatever applicable all such increases must be paid in full before departure.

We do not own or operate any airline railway, surface transportation, coach, hotels or any other related services therefore we will not be responsible for any improper services provided by any of the above, for any injury, death, loss or damage is caused by the act or default of the management or employees of any hotelier, airline, coach owner, who are the companies independent contractor arising-outside our normal selection and inspection process.

The itinerary is suggested Tour Plan. The Company is responsible for only those services which are charged from the guest. All other services which are not paid by the guest to the Company are Suggested services and Company is nowhere bound to provide that service or pay the cost for the same.

Check in and Checkout Timing of the Hotel will be according to the timing of the respective Hotels.

Company is not responsible for compensating any loss or additional cost incurred by the guest while taking the tour.

Company is not responsible nor liable any damage, loss or injury caused to any passenger while taking tour.

Dollar rates are applicable only to Foreign nationals & Indians possessing foreign passports, while the INR package rates will be applicable to Indian nationals.

All Terms are subject to Thimphu, Bhutan Jurisdiction only.

Any Claim related to the Package must be brought to the notice of the Company within a week.

Bhutan immigration entry permits will be completely depends upon the Bhutan rule & regulation. We will be not responsible for any entry permits rejection. We don’t confirm the entry permits, we assist.

We shall not be responsible for injuries, damages, or losses caused to any traveller in connection with terrorist activities, social or labour unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, abnormal conditions or developments, or any other actions, omissions, or conditions outside control.

The package can be customized as per the customer’s Requirement. Check In & Check out Time as per Hotel Policies (early check in is subject to availability)
Meals Timings must be followed as per the instructed time of the hotels. For any un-availed meals we shall not be responsible.

In few tourist destinations, the facilities of Hotel, Services, and aids etc. cannot be matched to developed destinations. Hotels in such places are categorized on the basis of location, Services and costing and not as per Star Categorization i.e.; 2*, 3*, 4* and so on.

We may have to re-schedule the sightseeing days due to closing of any monument during that particular day as to ensure smooth execution of tours.

Final confirmation acceptance should be only written basis & No discount will be provided after the issuance of confirmation letter.

Company has a right to reschedule the site seeing days to ensure smooth execution of tours.

There is no contract between BhutanHolidayPackages.com and the client until the company has received initial deposit amount of specified tour package.

In case, customer wishes to cancel his/her booking before 10 days of the travel date because of whatsoever reasons, including accident, sickness, or any other personal reasons, non-payment of the balance payment, the Company is liable to recover Cancellation charges from the Client. All the cancellations must be communicated in written.

Advance amount 50% is also non-refundable in case the cancellation is done within 10 days of the travel dates or No Show scenarios.

In exceptional cases like Instant death, company can refund the advance payment amount but only after deducting its service charges. (Please note: Company would also need the death certificate to process the refund amount)

The Company deserves the right to change the package cost depending on the economical status of the market as per the Government policy.

Services will be provided to the customers as mentioned in the booking voucher only.
Any complimentary services (If not provided) cannot be claimed in form of cash or alternative services.

RESERVATION POLICY:

Confirmation of Hotel Rooms / Home stay is after receive 50% advance of total tour cost. Balance 50% need 10 working days before arrival.

Confirmation of the Packages is subject to receipt of 100% payment (i.e. 50% of the payment as advance & balance on or 10 days before arrival).

Extra cost may be applied for any unexpected event.

Service Charge & Service tax (Currently GST in India) is different.
The rates are not valid on block out dates. Prices are not valid during Festival periods.
International Check in time is 1400 hours / Check out time is 1100 hours, early check in and check out is subject to availability and cannot be guaranteed.
The rates are valid for minimum adults travelling together at all times.
The rates are subject to availability of hotel accommodation and sightseeing tours at the time of booking. We reserve the right to use an alternate hotel accommodation of an equal or higher standard. If we source a more expensive alternative, we reserve the right to re-quote based on the higher rates.
Surcharges wherever applicable would be advised at the time of booking. Transfers wherever included are without night surcharges. No refunds either in part or in full will be made for any unutilized service.
We are not holding any Hotel blocks for this package.
All the sightseeing tours and excursions are organized by local companies. The timings and days of operation are subject to alteration. Changes if any will be intimated at the time of booking.

CANCELLATION AND RESERVATION POLICY:

All cancellations/amendment are to be communicated in writing. The following cancellation charges will be levied if notice of cancellation is received within the days prior to the operation of the booked tour as per the following. You will be subject to a cancellation fees for tours booked, paid for and later cancelled as follows:

Cancellation within 30 Days prior to the arrival date of the tour packages / Hotel Booking / Transportation: No retention charge.

Cancellation within 29-15 Days prior to the arrival date of the tour packages / Hotel Booking / Transportation: 50% retention.

Cancellation within 14-11 Days prior to the arrival date of the tour packages / Hotel Booking / Transportation or Non Utilization of the same: 75% Retention.

There will be no retention charges for Hotel Bookings/Transportation if cancellation is done within 40 days prior to arrival of guests. After that 100% retention. This Cancellation Policy will be applicable only during Diwali, Durga Puja, New Year, Christmas and Festival Periods for the groups.

Additional 8% of total tour cost will be non-refundable as processing fees after giving confirmation in any cases.

KINDLY ENSURE THE PAYMENT BEEN DONE BEFORE CUT OFF DATE, POST WHICH THE-ROOMS SHALL NOT BE HELD AND RECONFIRMATION WILL BE SUBJECT TO AVAILABILITY. INCONVENIENCE REGRETTED!

AMENDMENT POLICY (PREPONE & POSTPONE):

In case client wishes to prepone /postpone his or her travel dates, we request you to kindly reach us 10 days prior to journey date via e-mail/SMS.

The customers can prepone /postpone their tour once without any additional charges (if intimated before 10 days of travel date in written). However postponing & preponing second time will attract additional charges.

Also note that few service providers (Hoteliers, Transporter etc.) may apply postpone/prepone charges even after meeting above requirement. In such cases postpone/prepone charges will deducted from the advance amount deposited.
In all prepone or postpone scenarios, the services and the costing will be subject to availability of Hotel and season/off season time.

We do not accept any changes in plan within 10 days of travel date. However in rare cases like adverse climatic conditions or strikes, package can be postponed which will be intimated to you beforehand.

The validity to utilize your Advance payment in prepone/postpone scenarios is 1 Year from the date of advance payment.

The advance payment and the invoice Number allotted to you, are transferable i.e. you can pass on your booking to any of your friends/ relatives. (Please Note : In order to transfer your booking you must meet the above terms and conditions first).

BEHAVIOR:

When you book a Holiday with us, you accept responsibility for the proper conduct for yourself and your party whilst on Holiday. If we or any other person in authority is of the reasonable opinion that you or any member of your party is behaving in such a way as to cause or be likely to cause danger or upset to any other person or damage to property, we will be entitled to terminate the holiday of the person(s) concerned. The person(s) concerned will be required to leave the accommodation or other service and we will have no further responsibility to them including any return travel arrangements. No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination. You will be responsible for making full payment for any damage or loss caused by you or any member of your party during your time away. Payment must be paid directly at the time to the service supplier concerned. If the actual cost of the loss or damage exceeds the amount paid where estimated, you must pay the difference once known. If the actual cost is less than the amount paid, the difference will be refunded. You will also be responsible for meeting any claims subsequently made against us and all costs incurred by us (including our own and the other party’s full legal costs) as a result of your actions.

COMPLAINT PROCEDURE:

If you have a problem during your holiday concerning any service provided as part of the arrangements we have confirmed, you must inform our Local Office or Local Guide (or, if none available, with our local agent or hotel manager) immediately to enable them to try to resolve the matter. Any notification must be put in writing and given to our representative / agent and the supplier as soon as possible. You also can contact our emergency number in Bhutan and India which will be provided in Confirmation Voucher. Until we know about a complaint or problem, we cannot begin to resolve it. If you remain dissatisfied, however, you must write to us within 7 days of your return to home giving your booking reference and full details of your complaint. If you fail to follow this simple complaints procedure, your right to claim any compensation you may otherwise have been entitled to may be affected or even lost as a result.
